General Program Policies



GENERAL POLICY 
Programs are for WESTBORO RESIDENTS ONLY and are offered on a first-come-first-serve basis. We do not ‘hold’ spots. When a class is full, we will establish a waiting list and add classes whenever possible.

Registrations continue for all programs until all spaces are filled.  At this time, registration can be done online or in-person only.  We do not accept phone or mail-in registrations.  Registrations are non-transferable, including to siblings.

We reserve the right to cancel, alter or consolidate classes when necessary; as well as change program descriptions, fees, dates, locations & times. Contact us if you feel your child has any special considerations/needs in regards to any program. The Town of Westborough, Recreation Department, does not provide accident/health insurance.

AGE AND GRADE REQUIREMENTS
Each program has specific requirements as to age and/or grade. Ages are as of program start date.  Grade is current grade.   EXCEPTION:  The only exception is in regards to SUMMER programs.  For summer programs, grade is in the Fall following the summer you are registering. 

These requirements are set up out of concern for your child’s safety and well-being and will be STRICTLY ENFORCED. Violators will be removed from program with NO refund of fees. PROOF OF AGE MAY BE REQUIRED.

CONFIRMATIONS
For those registering online, you will receive a confirmation upon checkout.  In all other circumstances, there will be NO further confirmation from our department. The only time you will hear from us is if there is a change in the time, day or location of a class, or if a class has been cancelled.

PARTICIPANT PHOTOGRAPH & MEDIA POLICY
Registrants and participants permit the taking of photos and videos of themselves and their children during recreation activities for publication/use by the Recreation Department, or outside vendors who administer our programs. Occasionally, local newspapers may use photos of children participating in our programs, along with their names, in their publications If you do not want your child to appear in photos, please contact us at 508-366-3066. Otherwise, we will continue with our current policy.

PAYMENT POLICY
Payments are due at time of registration. In office, we accept cash, money orders, personal checks, or credit cards (Discover, MasterCard, & Visa). Online registrations require credit card payments (Discover, MasterCard, & Visa). Refunds will be by check only and will take 3-4 weeks to process. You may request a credit to your Recreation household account in lieu of a check refund. Please see full refund policy.

Returned checks will be charged a $25 fee payable by bank check or cash.
Single checks for multiple programs is acceptable.
DO NOT PAY IF ON A WAITING LIST.
WE DO NOT PRO-RATE CLASS FEES.

PROGRAM CANCELLATIONS due to WEATHER
Program delays or cancellations due to weather will be communicated on the Town Recreation website and the Recreation Registration website. Attempts will be made to send e-mail notifications if time permits. We will use the email address provided in your household account.

PROXY REGISTRATIONS
Proxy Registrations are in person at the Recreation Department only. Registrants are asked to sign up for their family only. However, signing up for ONE additional family is allowed provided their family sign-up form is pre-signed, with their signature, and paid for at the time of registration.

REFUND POLICY 
For any program cancellations, with a minimum 3 business days notice, you will receive 100% credit in the system.  This can be applied to any household member for any recreation program.  In lieu of a credit, you may request a check; however you will only receive 75% of the total amount.  In the case of medical emergencies, refunds will be handled on a case by case basis;  partial,   pro-rated refunds may be given.  Refunds made by check may take 3-4 weeks to process.  Some programs may have alternative refund policies.

SCHOLARSHIP REQUESTS
If a financial hardship exists, fee reductions may be requested in writing to the Recreation Director. Contact the dept, confidentially, for further information.
